Documenting a Day - Microsoft Applications
Compare the functions of word processor, spreadsheet, presentation, and database
applications.
Each Microsoft application is utilized for different functions. Word is a good application to save notes, essays, and documentation for procedures. Excel is best utilized for formula’s and data tracking. PowerPoint is best for presentations that need visual demonstrations. Access is to store a database of information. Since these applications are apart of a Microsoft suite you can intertwine them if needed.
Explain the advantages and disadvantages of each application.
Word is best used to document information and create specific formatting. Typically, word is not best used for logging data and completing formulas. Excel is great for being able to log information sort, filter, create formulas, charts, or pivot tables. This gives the user an advantage to grouping specific data to see results. Excel can be tricky when attempting to do long complex formulas. If the formula is not accurate it will throw an error which sometimes can be difficult to fix. Excel would not be best utilized for notes, completing essays, or documenting procedures. PowerPoint is great for presentations. It allows you to determine special effects and make the presentation interesting. This grabs the viewers attention and keeps them interested. PowerPoint is not utilized to list out all information but more just a guide or reference to the information that will be covered. Access is a collection of several data pieces. It would be great for large data that needs to be divided by client, patient, or topic. This is all then stored in a specific database. This application would not be recommended for smaller individual sets of data.
Recommend the application software that was most appropriate for documenting the information about your day.
Out of all the Microsoft suite applications, word was the best to document the information about my day. This allowed me to write all information that I do daily as well as show screenshots for examples. I feel that the reader would best be able to understand this application better than reviewing Excel, PowerPoint, or Access.
Describe at least one additional scenario where that application would be most useful for each application type.
Word is greatly used for student homework. Most of my classes all require word documents to be submitting for assignments. Excel can be utilized for company budgets within the accounting department. This allows the company to see revenue as well as expenses. You can also create formulas to compare that information. PowerPoint not only is used for presentations for school or work but can be used in training sessions with a company. The PowerPoint can give the viewers high level what will be covered in the training session. With the effects that are in PowerPoint you can keep the trainees interested throughout the training. Access can be utilized as the data storage source for a company. They could utilize the database for customers, employees, and/or inventory. Access is more efficient to track large sets of data like this.
